Facilities Coordinator

Job Type: Contract

Duration: 6 months (Extended to 12 months dependent upon performance)

Location: Stockport - Applicon House, Exchange Street

Salary: £15 per hour (Client will look to increase to £17.50 per hour, after 6 months)

Hours of Work: Ad-hoc (2 days per week)

Start Date: ASAP

The Facilities Coordinator will be the focal point of contact and will be responsible for the overall Facilities Management and HSE activities in the office, primarily the day to day management of the office and contractors to the office, main administrator and focal point for office related HSE, implementation of office related DNV HSE policies, procedures and initiates, providing support to customers / employees to ensure a suitable working environment.

The daily duties will include:

  • Project management, supervising and coordinating the work of contractors.

  • Managing and leading change to ensure minimum disruption to business activities.

  • Directing, coordinating, and planning essential central services such as security, maintenance, cleaning, waste disposal and recycling.

  • Responding to any out of hours security alarms either by phone, email or attending in person.

  • Liaison with the Facilities Administrator for some purchase orders relating to the building

  • Assisting with annual Budget setting and monitoring.

  • Ensuring the building meets health and safety requirements and that facilities comply with legislation.

  • Planning best allocation and utilisation of space for re-organising of current premises.

  • Checking that agreed work by contractors has been completed satisfactorily and following up on any deficiencies.

  • Responding appropriately to emergencies or urgent issues as they arise and dealing with the consequences.

  • Focal point of contact for IT related issues that arise in the absence of IT personnel.

  • Encourage a positive HSE culture and communicate HSE issues to employees.

  • Liaise with UK HSE Coordinator in the implementation of the HSE policy, procedures, and initiatives.

  • Coordinate and respond to HSE questions from employees.

  • Ensure all new starters and contractors to the office receive a full HSE induction.

  • Encourage incident reporting and assist with follow up and close out of office related incidents.

  • Ensure that local office-based risk assessments are reviewed, and actions implemented.

  • Ensure office maintenance, testing, and inspection routines are carried out and records retained.

  • Ensure adequate local emergency arrangements are in place including signage, drills, first aid supplies and sufficient number of trained staff.

  • Coordinate office HSE tours and ensure follow up actions.

  • Set environmental targets and action plans with the help of UK HSE Coordinator.

  • Monitor environmental targets and ensure actions plans are implemented.

  • Collate office environmental data and report back to UK HSE Coordinator quarterly.

  • Liaise with local management on a quarterly basis to ensure customer expectations are being met.

  • Lead fire Marshall, DSE assessor and first responder.

  • Ability to plan projects such as Refurbishments/Relocations as needed.

Technical / Professional Expertise and Qualifications Required

  • Proficiency in Microsoft Office 2010 suite e.g., word, excel, etc.

  • Excellent written and verbal communication skills in English

  • Experience in previous Facilities role.

  • Experience and awareness of HSE legislation, contractors risk assessments, method statements and COSHH, incident investigation etc.
